Privacy Policy – Maple Merit

Maple Merit Technologies Inc. (“Maple Merit”, “we”, “our”, or “us”) is committed to protecting the privacy of students, educators, and schools using our platform.

This Privacy Policy explains how we collect, use, and safeguard personal information when using the Maple Merit platform, website, or related services.

1. Our Role

Maple Merit operates as a service provider to schools and school boards. We process personal information on behalf of educational institutions, which remain the data owners and controllers.

2. Information We Collect

We only collect information necessary to operate the platform:

Student Information

  • Student full name (internal use only)
  • First name and last initial (for display within the platform)
  • Student ID (if provided by the school)
  • School name
  • Class or teacher association (if provided by the school)
  • Participation and engagement data such as attendance points, participation points, achievements, and rewards earned

Full student names are collected and stored within the system to ensure accurate identification, record keeping, and proper assignment of participation data.

However, for privacy and safety reasons, the Maple Merit user interface displays student names to other students in a limited format using first name and last initial only (for example: Emma R.).

Full student names are visible only to authorized educators, school administrators, and approved system administrators when necessary for managing student records.

  • Role (teacher/admin)

3. How We Use Information

We use collected data solely to:

  • Operate and maintain the Maple Merit platform
  • Track student participation, achievements, and rewards
  • Allow educators to manage and assign student engagement points
  • Improve the functionality and performance of the platform
  • Provide technical support to schools and administrators
  • Maintain platform security
  • Provide reporting to authorized school staff

Student information is used solely for educational engagement purposes. We do not sell, rent, or use personal data for advertising, marketing, or any commercial purposes.

All information is processed and used exclusively within the Maple Merit platform environment and is not shared with third parties except if required by law.

4. Consent

Educational institutions are responsible for obtaining any required parental/guardian consent under applicable laws, including FIPPA.

5. Protection of Student Privacy

Maple Merit is designed with student privacy as a priority.

Student full names and participation data are restricted to authorized users such as educators and school administrators.

Student identities are not publicly searchable and are not visible outside the participating school's platform environment.

The Maple Merit platform intentionally limits student-facing displays of personal data by showing first name and last initial only to other students.

Maple Merit does not sell, rent, or trade student data to third parties.

6. Data Security

Maple Merit uses reasonable administrative, technical, and security measures to protect personal information from unauthorized access, disclosure, or misuse.

  • Data is securely stored using industry-standard encryption.
  • Access is restricted to authorized users only.
  • Maple Merit uses secure servers (Toronto-based DigitalOcean data centers) to host the platform.
  • We implement safeguards to prevent unauthorized access, disclosure, or misuse.

Access to student records is restricted to authorized school personnel and approved administrators.

7. Data Sharing

Maple Merit does not sell personal information.

Information may only be shared:

  • With authorized educators or administrators within participating schools
  • With service providers that assist in operating the platform
  • When required by law

8. School and Parental Responsibility

Participating schools are responsible for ensuring appropriate consent is obtained for student participation where required under applicable laws or school board policies.

Parents or guardians may contact their school administration regarding student participation in Maple Merit.

9. Data Retention

We retain data only as long as necessary to provide services.

Student information, including full names and participation data, will be retained only as long as necessary to operate the platform or as required by school policies.

Schools can simply remove student data when a student leaves the program.

Every delete button is a permanent delete, and we do not retain deleted information.

10. User Rights

Requests for access, correction, or deletion must be directed through the school or institution.


Policy Updates Maple Merit may update this Privacy Policy periodically. Updates will be posted on the Maple Merit website.
